We are looking for an exceptional Unit Secretary to join our practice! 

Physicians East, PA is a multi-specialty, multi-campus group based out of Greenville, NC offering a wide range of specialties.  In addition to primary care the practice offers pulmonary and critical care medicine, rheumatology, dermatology, oncology, endocrinology, cardiology, obstetrics and gynecology, gastroenterology, surgery, urology, and urgent care.  Our 102 providers and over 600 employees provide services for thousands of patients in a 29-county region.  Our specialists are on staff at ECU Health, a 900+ bed, level one trauma center and the primary teaching hospital for the East Carolina University Brody School of Medicine (ECU-BSOM).

Location & commitments 

FT/PT/Temp/PRN role based at our Greenville (other) location, Monday-Friday, 8a.m. – 5 p.m. 

Overtime may be required to ensure patients are taken care, tasks are completed, and calls are returned in a timely manner. 

Weekend work is rare but can occasionally be necessary. 

 

Supervision Received: Reports to Director of Human Resources.  

Typical Physical Demands: Work requires sitting for long periods of time, some stooping, bending, and stretching may be required. Requires manual dexterity sufficient to operate a keyboard, type a minimum of 50-wpm, telephone, fax machine and any other office equipment as necessary. Requires manual dexterity sufficient to operate a keyboard, type 50-wpm, operate a calculator, telephone, copier, fax machine and such other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for long periods and to work in an environment which can be very stressful. 

 

Typical Working Conditions: 

Work is performed in a high-volume office environment. Involves frequent communication with patients, Insurance Companies, Drug Representatives, Physicians, Pharmacies, staff members and other medical facilities. Must have an ability to multitask and work in a fast-paced environment. 

 

Responsibilities 

  • Provide secretarial support including outgoing faxing, patient correspondence and maintaining incoming faxes. 

  • Completes cost analysis for drugs administered in the Endocrinology office including injections and infusions.  

  • Contacting patients by telephone to secure acceptable payments, payment arrangements, and or obtaining necessary medical billing insurance information. 

  • Relay messages to staff using phone notes in Centricity 

  • Communicate the patient responsibility amount due to the front desk to collect for upcoming appointment 

  • Submit prior authorization to insurance companies on patient’s behalf to obtain approval for prescription drugs. 

  • Completes work request timely and in accordance with instruction and production goals.  

  • Stay abreast and communicate any challenges, delays and/or PA denials with immediate supervisor daily.  

  • Provide backup coverage for the front desk and answering incoming calls, as needed 

  • Able to begin workday at 8:00 am and end at 5:00pm Monday through Friday 

  • Work as a contributing member of a team to keep departments running smoothly. 

  • Participate in in-service education, staff meetings and other continuing education programs to maintain optimal technical knowledge. 

  • Adhere to department and company policies. 

  • Attend safety classes and compliance training as offered by Physicians East, P.A. 

  • Always maintain confidentiality. 

  • Perform other duties/projects as assigned by management  

 

 

Candidate requirements 

  • High school diploma or equivalent; 2-year degree preferred. 

  • At least 2-3 years of relevant experience in medical office setting. 

  • Clear, professional communication skills, specifically telephone voice and technique. 

  • Customer service oriented. 

  • Must display a high level of confidentiality integrity and initiative. 

  • Experience with Electronic Medical Record (EMR), practice management system, Cover My Meds and online drug coverage portals is required. Proficiency utilizing Microsoft Office suite. 

  • Knowledge of Medicare/Medicaid and major insurance carriers preferred. 

  • Working knowledge of ICD-10 / CPT medical coding and billing, and medical terminology preferred. 

  • Strong analytical and research skills. 

  • Ability to submit appeals with supportive medical documentation. 

  • Ability to apply correct deductible, co-insurance, co-payment and communicate to patients. 

  • Excellent communication skills, both verbal and written. 

  • Ability to establish and maintain effective working relationships with Physicians, patients, employees, and the public. 

  • Must be well organized and detail oriented
