Vocational Intake Assistant, Part-time

As a Vocational Intake Assistant, Part-time you will be responsible for supporting the Employment Services team by completing the Initial Interview and Vocational Profile for new referrals. These steps are critical for understanding each client’s background, interests, abilities, and support needs so that employment goals are realistic and individualized. The information gathered provides the foundation for the Job Development Plan and helps ensure clients are matched with meaningful, sustainable employment. This allows Employment Specialists to focus on job development and coaching.
 
Essential Duties and Responsibilities include:

• Gather and document client background, interests, abilities, and support needs through the Initial Interview and Vocational Profile.
• When concerns arise, conduct community-based assessments to observe stamina, pace, safety, and tolerance, ensuring the Vocational Profile reflects the client’s true abilities.
• Coordinate with ES and CSS staff to share intake findings and ensure smooth transition into JD planning, job development, and support services.
• Communicate with EIPD to address referral related questions or concerns.
• Complete required documentation in Sigmund and upload the documents into the ENCORE system.
• Provide clients with required handbooks and copies of key documents to support understanding of policies and services.
• Ensure Vocational Profiles are finalized within 30 days once they are started so Employment Specialists can move forward with individualized Job Development Plans.
• Transport clients to community settings when needed for assessment.
• Other duties as assigned.

Requirements:

• Part-time, in-office position, M-F, 20 hours per week. Some community-based work required.
• Associate’s or Bachelor’s degree in Human Services, Psychology, Rehabilitation, or a related field.
• Excellent communication and report-writing skills.
• Dedication to excellent customer relations/experience.
• Valid driver’s license and acceptable driving record.

• Interviewing and Assessment - Effectively conduct interviews and assessments to gather relevant information about a client's background, employment interests, abilities, barriers, work history, accommodations, and support needs. 

• Critical Thinking and Problem Solving - Uses sound judgment to evaluate available information, identify missing information or concerns, determine when additional observation or assessment is needed, and adapt approaches based on individual client needs. 

• Observation and Objective Evaluation - Ability to observe and evaluate client abilities, stamina, pace, safety, task performance, workplace behavior, tolerance, and support needs and document findings accurately and objectively. 

• Independent Judgment - Demonstrates professional judgment, appropriate boundaries, and the ability to independently manage responsibilities in office and community settings. 

• Organization and Record Keeping - Organizes and prioritizes responsibilities, manages multiple referrals and deadlines, and maintains accurate, objective, and timely documentation. 

• Supervision and Feedback - Receives and applies supervision and feedback appropriately and communicates questions or concerns through appropriate channels. 

• Computer Literacy - Ability to effectively use required computer programs and documentation systems, including Sigmund, ENCORE, NeoCertified email, and Microsoft Office. 

 
 Physical Demands 

• Ability to sit, stand, walk, bend, drive and move throughout office and community settings to perform job duties, observe clients, and safely perform or demonstrate work related tasks. 
• Visual ability to observe clients, recognize safety concerns, and read documents and computer screens. 
• Ability to hear and communicate effectively in various settings. 
• Ability to occasionally lift or carry up to 25 pounds. 
• Repetitive use of hands and arms for computer work and other job-related tasks. 

 
Work Environment 

• Work is performed in office and community settings and may involve frequent interruptions. 
• Regular interaction with clients/customers who may require different levels of communication, guidance, and support. 
• Travel to community locations as needed, with possible exposure to normal driving and community site hazards.
